FULL-TIME SCHEDULER/EXECUTIVE ASSISTANT 

Paschal Roth Public Affairs seeks an organized and professional Scheduler/Executive Assistant to join our team of message experts and earned media professionals. We help workers, environmental and equity advocates, and big thinkers in the health, human services and education spheres shape public dialogue. We put our hearts into electing candidates and passing bills and ballot measures that strengthen workers and families, give all Californians the opportunity to be healthy, and create greater justice and equity.  


This position is in-person and located in our Sacramento, California office. COVID-19 vaccination required.

Primary duties will include:

  • Intensive scheduling: Managing the schedules of firm partner(s) via Google Calendar - working with clients to set up meetings, conference calls, or video conferences

  • Acting as a frontline representative of the firm - fielding incoming phone calls and emails, interacting professionally with clients, members of the news media, and others

  • Maintaining and updating productivity tools, in consultation with other team members, to improve coordination of firm’s work and to keep work moving to meet deadlines

  • Maintaining databases/contact lists

  • Conducting quick online research as needed  

  • Preparing documents and presentations using Microsoft and Google software suites

  • Managing meeting materials and documentation, including agenda planning, note taking, synthesizing outcomes, and distribution of advance materials as well as follow-on action items. Following up with team members to ensure task completion 

  • Maintaining electronic and/or hard copy files in a consistent manner

  • Proofreading materials for grammar and accuracy

  • Miscellaneous office duties - ordering office supplies, coordinating printing orders, coordinating lunch orders, delivering materials in Downtown area  


Minimum requirements:  

  • 2-5 years experience managing executive schedules and team workflow; State Capitol or equivalent experience preferred  

  • Professional

  • Punctual 

  • Organized 

  • Flexible with changing priorities and deadlines 

  • Detail-oriented 

  • Strong work ethic 

  • Good judgement 

  • Ability to listen carefully, follow directions, work independently as well as with a team 

  • Commitment to going the extra mile for clients 

  • Demonstrate problem solving and resourcefulness to keep projects on track 

  • Mastery or quick study in Apple/Mac technology, Google Calendar, Drive, Docs, Sheets, Microsoft Office Suite, Dropbox and Zoom

Salary based on experience.  Firm benefits include employer-paid healthcare, paid holidays, paid time off, 401(k) after 1 year.
